Mail Surveys

Man holding mail For large mail surveys, Macro operates Mail Survey Centers in Calverton, MD, and Maumee, OH. Each facility houses state-of-the-art technical equipment that allows us to mail and process large quantities of surveys efficiently and accurately. Macro conducts mail surveys according to the Dillman approach, which includes respondent pre-notification, multiple mailings, and a series of reminders.

Our mailing and distribution facilities, personnel, and equipment allow complete control over these critical activities, without having to rely on vendors or subcontractors. For distribution, our facilities include high-speed duplicators, inserters, stampers, and mailers. When surveys come back, optical scanners speed the compilation and analysis of responses.

A full-service document center at Macro’s Rockville office provides additional support. Digital copiers can receive documents directly through our computer network; they feature online editing for last-minute changes and adjustments. For color production, we have the latest and most advanced color copiers available. The document center produces forms for optical scanning and has additional scanners to handle completed surveys.

For the U.S. Department of Energy, Macro conducts a quadrennial survey that collects annual sales volume data by State from more than 27,000 establishments that sell a variety of petroleum products, including fuel oil, propane, and gasoline. As we update this list, it serves as the basis for other petroleum-related surveys. We use a coordinated mail and Computer-Assisted Telephone Interviewing (CATI) process to collect data. Our trained survey personnel execute all aspects and phases of the survey process, including tracking, follow-up, and processing. We produce biweekly status reports for both the mail and the CATI survey data collection as well as final reports comparing the two modes of data collection.

The Consumer Assessment of Health Plan Surveys (CAHPS®) is a valuable tool for measuring health care access, health plan and care performance, and member satisfaction. Implementing these studies effectively is critical to collecting meaningful, reliable information about the experiences of consumers enrolled in health plans. The rigorous study protocol involves either a mail-only or a mixed-mode approach requiring strict adherence to the timing of mail and telephone data collection. Macro not only follows the CAHPS® protocol precisely, but continuously develops enhancements designed to achieve high response rates, including implementing the survey in multiple languages and over the Internet. Since Macro’s first CAHPS® project, conducted in 1997 for the State of Ohio, we have conducted CAHPS® and CAHPS®-based projects for four States and the District of Columbia as well as a county Medicaid provider in California.
